How to connect Zoom and import participant names
Walkie's Zoom integration imports participant display names from a completed Zoom meeting into your local meeting record. You choose the meeting occurrence and manually choose which speaker each name belongs to. Desktop version 1.20.17 includes the connection and manual participant import. Zoom Marketplace publication is still pending, so Zoom may restrict authorization to approved accounts.
Before you start
- Install Walkie for your desktop computer and sign in to a Walkie account. The integration is a desktop feature.
- Use a paid Zoom account with permission to see participant reports for the completed meeting. Attending somebody else's meeting does not by itself grant access to its report.
- If your organization's Zoom administrator requires app approval, request that approval before connecting.
- The meeting must have ended and its participant report must be available. Reports can take time to appear.
Add the connection
- Open Walkie on your computer and sign in.
- Go to Settings → Account → Connections → Zoom and choose Connect.
- Your browser opens Zoom. Sign in to the Zoom account that owns or can access the meeting report, review the requested permissions, and approve the connection.
- The browser returns through trywalkie.com to Walkie on this computer. When it says the authorization was received, return to Walkie and confirm Zoom shows Connected.
Import names for a meeting
- Open a recorded meeting in Walkie, then open its Transcript tab.
- Choose Zoom participants and enter the completed Zoom meeting's number or join link.
- Choose the date and time of the matching meeting occurrence. This matters for recurring meetings that reuse the same number.
- Choose Import participants. Their display names become suggestions in Walkie's speaker editor.
- Choose the correct name for each speaker yourself. Importing attendance does not identify a voice or overwrite speaker corrections you already made.
| Zoom permission | What it is used for |
|---|---|
| meeting:read:list_past_instances | List the completed occurrences of the meeting you entered, so you can choose the right date and time. |
| meeting:read:list_past_participants | Read the selected occurrence's participant display names, including subsequent pages of a long report. |
| user:read:user | Identify the connected Zoom account so removing Walkie from Zoom can clear its imported data. |
The integration does not request recording, chat, write or administrator scopes. It does not upload your meeting audio, transcript or notes to Zoom.
Where Zoom data goes
Imported participant names are encrypted in a separate local Zoom roster. Names you select from Zoom suggestions are encrypted separately and excluded from ordinary cloud sync and AI summary/chat input. You can include those names in an explicit export or public share link. A different name you type yourself is treated as an ordinary user-authored label and may be synced with your meeting text. Restoring the unchanged Zoom name preserves its protection.
Zoom tokens, imported names and selected Zoom labels are encrypted locally. Their keys are held in macOS Keychain, Windows Credential Manager or Linux Secret Service. If that store is unavailable, Walkie preserves existing protected data and pauses the connection.
The trywalkie.com HTTPS callback delivers authorization to the app. Walkie's server exchanges the one-time code and temporarily looks up the connected Zoom account. Tokens return to the desktop for encrypted local storage; the returned profile and Zoom tokens are not stored on the server. Hashed Zoom identifiers link the connection to removal checks. Hosting providers may retain request metadata under their policies. See the privacy policy for details.
Remove the connection
- In Walkie, open Settings → Account → Connections → Zoom and choose Disconnect. This deletes the current account's connection tokens and raw imported Zoom rosters; chosen speaker labels remain.
- To revoke permission at Zoom as well, sign in to Zoom App Marketplace, open Manage → Added Apps, find Walkie, and choose Remove. Confirm the removal when asked.
Removing Walkie at Zoom stops its authorization. Walkie records the verified removal using hashed identifiers. The desktop checks for removal at startup and before accessing the connection, then clears its credentials, imported rosters and Zoom-derived speaker labels. An offline device performs this cleanup at its next successful online check. Network failures pause access while preserving your data.
Your authored transcript text, meeting notes, calendar attendees and ordinary speaker labels remain. Removing the connection does not remove your Walkie account or cancel its subscription. To remove a meeting's text as well, delete that meeting in Walkie.
Troubleshooting
- Authorization unavailable: Marketplace publication is pending. Your Zoom account may need access or administrator approval before it can connect.
- Authorization timed out: return to Walkie and start Connect again. Keep Walkie open on the same computer while completing the browser step.
- Could not open sign-in callback: another process may be using the local callback port. Close a previous Walkie sign-in attempt and retry; do not authorize on a different device.
- Report not available: check that the meeting ended, choose the correct occurrence and allow time for Zoom to produce the report.
- Zoom did not allow the request: use a paid account that can access that meeting's participant report and approve the three requested read permissions.
- Connection expired or was removed: reconnect in Connections. Transient network problems do not require deleting your meeting notes.
